Controlling Stock with Yoco

Track every stock movement, see the full history behind every number, and flag low stock at the till on the Pro Plan.

Stock Tracking keeps your numbers up to date. Stock Controls tell you the story behind them by recording every delivery, count, transfer, and write-off in the Yoco App (mobile or web). So when a number looks off, you don't need to chase the paperwork to find out why – it's all there in your stock history.

💡 Good to know: Stock tracking is available on the Core, Plus, and Pro Plans. Some Stock Control features are available on the Core and Plus Plans, with full access on the Pro Plan.

Stock Controls only work when Stock Tracking is switched on for your products. If you haven't done that yet, start here.


Know what you have – and why it changed


There are three Stock Controls:

1. Stock recording

Per product stock recording is available on the Core, Plus, and Pro Plans. Bulk stock recording is only available on the Pro Plan.


Every stock movement is recorded in the Yoco App (mobile or web) – whether it's an incoming delivery, a transfer between stores, or a write-off. So there's always a clear record of what happened and why.

You can record four movement types:

  • Receive: Log an incoming delivery and assign it to the location it came into.

  • Transfer: Move stock between two locations, recorded on both sides.

  • Stock count: Reconcile a shelf count against what Yoco expected.

  • Wastage: Record damage, breakage, and write-offs.

Movements can be recorded across multiple products at once (what once took hours now takes minutes), or one product at a time. Every entry is saved with a timestamp and the name of whoever recorded it, so you always know who did what and when.

2. Stock history

Stock history is only available on the Pro Plan.


Every movement recorded in the Yoco App (mobile or web) builds up a full history for each product over time. For every entry, you can see the type of movement, the quantity that moved, the reason it was recorded, the timestamp, and who recorded it. So when a number looks off, you can trace it back and fix it if something went wrong.


The complete movement history for all your products can also be exported and shared with your accountant.

3. Stock indicators

Stock indicators are only available on the Pro Plan.

This feature lets your team see what's running low before a customer asks for it. Low stock and out-of-stock indicators appear directly on the sell screen of your Yoco Counter and all Khumo devices, and you can go further by blocking the sale of any item that hits zero units.

  • Low stock: This message appears when a product drops below its stock alert level. The product can still be sold – this is just your prompt to reorder.

  • Out of stock: This message appears when the product has reached zero units. By default, the item can still be added to a sale.

  • Out-of-stock block: Enable the Prevent sale of out-of-stock items setting to stop out-of-stock products from being added to a sale.

All three settings are managed in the Yoco App (mobile or web) and are automatically applied to all your point of sale devices.

What's the difference between Stock Tracking and Stock Control?


Stock tracking lets you set stock levels and low stock alerts per product, and view quantities – available on all three Yoco Plans. Stock Control builds on that by letting you record movements with reasons (all Yoco Plans), see the full history behind every number (Pro Plan only), and show stock indicators on your sell screen (Pro Plan only).

Do I need to set anything up before I can use the stock control features?


Yes, stock tracking needs to be enabled for each product you want to manage. Once that's done and your quantities are up to date, you're good to go. Learn how to enable stock tracking.

Does stock control work across multiple locations?


Yes, when you record a stock movement, you select the location it applies to. For transfers, stock is automatically deducted from the source location and added to the destination.
