Manage your Yoco Invoices and drafts

There’s a new Yoco POS App, and an updated Yoco Mobile App to better run and manage your sales and business with Yoco! 🎉

If you're considering using the Yoco POS, you can now download the new POS App for free to streamline your sales. The Yoco Mobile/Web App is still where you can manage your Yoco profile, products, staff, and settings - and take your business to the next level with Yoco's online payments!

Manage your Yoco Invoices

With your Invoices page in the Sales Tab of the Yoco Mobile/Web App, you can view your sent/draft invoices, edit drafts, track payments, download reports and more!

All your Yoco Invoices, no matter their status, live in Your Invoices page in the Sales tab of the Yoco Mobile/Web App here.

View draft Invoices

In your Invoices page, select the Drafts tile or the Your Invoices tile: you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

  1. Select the Drafts tile to see a list of your Draft Invoices.

  2. Choosing any of your draft Invoices allows you to Edit invoice, Preview and send, or Delete draft. You can also View the draft invoice as a PDF and/or copy the link.


Edit draft Invoices

In your Invoices page, select the select the Drafts tile or Your Invoices tile: you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

  1. Select the Drafts tile to see a list of your Draft Invoices.

  2. Select the invoice draft you’d like to edit, and then hit the Edit invoice button.

  3. Here, you can edit any of the invoice details originally specified when saving the draft.


When you’re done, you can either update it as a draft by hitting Save as draft, or hit the Save button and continue onto sending the invoice to your customer.





Delete old/incorrect draft Invoices

In your Invoices page, select the select the Drafts tile or Your Invoices tile: you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

  1. Select the Drafts tile to see a list of your Draft Invoices.

  2. Select the invoice draft you’d like to edit, and then hit the Delete draft button.


View sent Invoices

In your Invoices page, you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

  1. Select the Your invoices tile to open up a comprehensive list with all your invoices.


Copy an Invoice payment link

Once you’ve created an invoice by adding a customer and product(s) and you send it to your customer, a payment link will be created along with the invoice.

  1. To view this link, visit your Invoices page, select the Your Invoices tile, and locate the correct invoice you’re looking for.

  2. Click on the invoice once you’ve located, and if the invoice is still unpaid you’ll see a link below the View PDF button.

  3. Clicking on the link will automatically copy it to your clipboard for sharing. You can simply paste it wherever you like.


View unpaid Invoices

In your Invoices page, select the Your Invoices tile: you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

  1. Select the Your Invoices tile to see a list of all your Invoices.

  2. Next, select the Unpaid filter at the top of the invoices list to see only your unpaid invoices.

  3. Select an unpaid invoice to view its details.


View overdue Invoices

In your Invoices page, select the Overdue tile or the Your Invoices tile: you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

Select the Overdue tile or filter to see a list of all your overdue Invoices.


Re-send an unpaid/overdue Invoice (reminder)

Once you’ve created an invoice by adding a customer and product(s) and you send it to your customer, a payment link will be created along with the invoice.

To view this link, visit your Invoices page, select the Your Invoices tile, and locate the correct invoice you’re looking for, using either the Unpaid or Overdue search filters.

Click on the invoice once you’ve located, and If the invoice is still unpaid you’ll see a link below the View PDF button.

Clicking on the link will automatically copy it to your clipboard for sharing.

You can also re-send this link to your customer directly, to remind them about payment, by hitting the Send button. Select Email or SMS depending on how you’d like to send the invoice (again).

If the customer pays via the online link, the invoice will be marked as paid automatically.


Mark an unpaid Invoice as "Paid"

If an invoice has been paid by a method other than the link provided (cash or manual EFT) then you’ll need to manually mark the invoice as paid (for your records).

In your Invoices page, select the Your Invoices tile: you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

  1. Locate the invoice in your Invoices list and click on it to open the invoice details.

  2. Select the Mark as paid button and select either Cash or Manual EFT as payment method (for your records).

  3. Once you’ve selected the payment method, the status of the invoice will change to Paid in your invoices list


View paid Invoices

Payments made using the payment link attached to your invoice will reflect in your Yoco available balance, as soon as your customer pays. You’ll also receive an instant notification. These payments will then be settled into your bank account as part of your normal payouts - learn more here.

If a payment is made using any other payment method, like EFT or cash, you’ll need to manually mark that invoice as paid (more on that above).

Yoco Invoice payments made using the Payment Link attached to the invoice will appear in your Sales history in the Yoco Mobile/Web App. Any other types of payment methods will only reflect on the invoice itself, and not in your sales history. Find out more about using your Yoco Sales History here.

In your Invoices page, select the Your Invoices tile: you’ll see different sections to give you quick insight and access into your draft and overdue invoices, as well as a record of all your Invoices and settings.

  1. Select the Paid filter at the top of the invoices list to see only your paid invoices.

  2. Selecting a paid invoice will show you its details.

You can also see all your Invoices paid with Yoco’s online payment link in your sales history (more on that below).


Track Invoices payments in the Sales History

Your Invoices that have been paid via the online payment link attached, will be shown in your sales history in the Sales tab of the Yoco Mobile/Web App here.

Select the Sales history widget/tile, where you can filter to help you find them faster in your sales history, by selecting the Type filter and choosing Invoice from the list. Click on the Apply button to only view your Invoices payments.

Here, you can select the paid invoice you’re looking for and view its details.

If there are any tiles with a little > icon, you can tap on it to reveal more details - for example, any refunds associated with the sale.


Download Invoices reports

In your Invoices page, select the Your Invoices tile: You can download any of your invoice lists by selecting the download icon in the far right corner of the screen.

💡The download icon looks like this:

Choose the format you’d like to download the report into and hit the Download button. Make sure to allow permission for the download on your device. It will automatically be saved in your Downloads folder.
