Yoco Countertop Payments: Setup Guide

Here's how to get selling with your slick Yoco countertop setup

Yoco Profile Setup

First things first, it's time to sign up with Yoco and create your profile with us. You can choose to do this wherever is most convenient for you - download the free Yoco Mobile App, or if you prefer using a computer (or a smart device not compatible with the Yoco Mobile App), you can complete your signup and verify your profile to get payouts just as easily online, from the Yoco Web App here.

Step 1: Download Yoco Mobile App/ Access Yoco Web App

💡 To complete your Yoco profile setup, you'll need to either download the free Yoco Mobile App, or simply access the Yoco Web App online here (no download required).

Step 2: Sign up with Yoco

Completing Yoco Signup is quick and easy, no matter where or how you choose to enter your details.

There are two ways to access Yoco Signup:

  1. Sign up online at hello.yoco.com

  2. Download the free Yoco Mobile App, or simply go to the Yoco Web App online, and you can sign up and complete your profile for payouts all in one place. You can also use the App to run and manage your sales in future.

    Remember that the Yoco Mobile App currently only works with iOS and Android smartphones/tablets. Learn more here.

Basic Yoco Signup steps:

  1. Email address: this will be used to contact you with important (legal) messages from us.

    💡Please use an email address that you use actively, because it’s a core part of your Yoco profile.

  2. Mobile number: this will form part of your Profile’s security authentication, but unlike your email address, your mobile number can more easily be changed or reallocated to another Yoco Profile in future.

    💡Please provide an active number for yourself or your business, because we like to keep in touch and offer multi-channel support and notifications.

  3. Trading Address: This is where you operate from, and where your customers and important mail can find you — it may also be your home address.


    💡 We may ask you for proof of address in future.


Step 3: Complete Yoco profile for payouts

You'll next have to finish your Yoco Profile with identification and business verification checks to get your first Payout:

1. Identification:

💡We only accept original identification documents, which must be current and valid (not expired).


RSA IDs: Green ID book, Smart ID card, or Barcoded Passport

International IDs: Barcoded Passport and valid work visa


2. South African Bank Account: must be transactional (that means, your account can make and take payments). Typical transactional bank accounts include a, current or cheque account. If you’re unsure, check with your bank or on your banking profile.

Please note: You won't be able to use the Yoco POS or your Neo Touch card machine to make sales until you've completed your Yoco profile setup and verification.


Selling and Tools Setup

Now it's time to set up how you'd like to sell, customise your payments and provide access for the right members of staff to your Point of Sale. This is all done either from the Yoco Mobile/Web App here.

Check that your new Neo Touch is linked to your Yoco profile

Log in to the Yoco Mobile/Web App here, visit your business profile page by selecting your business logo or name, and navigate to the Card machines tile.

💡Your Neo Touch card machine should already be linked to your Yoco business profile, and be listed on your card machines page.

If for whatever reason, you don't see your new Neo Touch on your card machines page, simply add it by selecting the + Add card machine button.

Next, you'll need to enter your new Neo Touch's serial number - find it on the back of the card machine. It'll look something like this:

💡 Please make sure to look for the serial number on your Neo Touch card machine, not on your charging stand or tablet.


Configure your Yoco Receipts

Your receipts are sent to your customers via email or SMS after they've made a successful payment with Yoco. You can configure your receipts by logging in to the Yoco Web App here, or by following the same steps in the Yoco Mobile App.

1. Your receipt settings are located in the Business Settings section of the Yoco App.

2. Click on the Receipt settings tile.

3. Find the "Details” section and click the Edit button.

Here, you can:

  • Choose your Receipt Type (Receipt or Tax Invoice) - Both will still show a VAT breakdown, but will have different headings.

  • Add your Business Tagline - usually just one short sentence to describe your business' essence. It could also be your name, or anything else that you'd like to tell your customers in a short line.

  • Enter a Receipt Footer - this can be absolutely anything and you have a little more room to work with: from opening hours, delivery details, latest specials and discounts, to extra contact details. You can update this as often as you like!

  • Show your phone number? Choose whether or not you'd like your profile phone number to be shown on your receipts. It's automatically turned on, so if you don't want this, just click on the green toggle button.

💡 To edit or update your logo or social media handles, please visit your business details page.

4. Make sure you're happy with the final product, by selecting the Preview tile at the top of your receipt settings page.

Customise your Yoco Tips settings

Are you running the kind of business that receives tips for good service? You can manage your business tip settings (which will be applied across all your Yoco card machines and/or Yoco POS), from your Mobile or Web App in the Tip Settings page in your business settings.

💡 When you set up your tips on the Yoco Mobile/Web App, all your card machines will automatically be updated as per your selection.


Choose your other payment methods for record keeping

💡 You can use your Yoco card machines and/or the Yoco POS to record other payment methods too, not just card payments!

Just like with cash payments (always available as a payment method with Yoco), when you record a sale using one of your other payment methods it'll form part of your Yoco Sales History for your record, reporting and insights.

Please note: Yoco doesn't process other payment methods, or charge you any fees for using them. This means you can't action a refund of another payment method from your Yoco Sales History, but you can re-send receipts and view other payment details.

Your Payment methods settings are located in the business settings section of the Yoco Web App.

There are ten payment methods available to you to activate for record keeping purposes. You will notice that Card and Payment link are always on and you are not able to switch these off.

Please note: The payment methods above are purely for your own record keeping purposes, and we don't integrate with these external payment providers directly.

💡 To activate these payment methods simply toggle the button on or off. Changing these payment methods will be reflected on all your Yoco card machines and your Yoco POS.


Build your Yoco Products catalogue

When using a the Yoco POS App to tally up a sale, you can quickly tap to add your products to the bill, before taking payment on your Neo Touch card machine. Not only will this make your checkout process faster and smoother, you’ll get more detailed reporting from your Yoco App's Hub tab reports, and be able to track the performance of individual products and categories too.

Invite Staff who need to sell from your POS

Who else needs to be able to log in to your POS and make sales for your business? Adding staff members to your Yoco profile will give them the ability to log in to your Yoco card machines and/or the Yoco POS App when making sales for your business. This will also mean that their sales are recorded under their name, giving you better staff sales and performance reporting and insights, as well as faster cash-up at the end of each shift.

Please note: Only Administrators can invite new staff members to your Yoco profile.

1. Log in to the Yoco Mobile/Web App here: from the Manage tab, click on the Staff tile/widget.

2. Click on the + New Staff Member button, when you'll see a new staff profile form to fill in.

3. You'll then need to choose the User Type you're adding: Administrator, Manager, Staff member, Supervisor or Custom user type.

  • By selecting the different user types, you'll be able to see the permissions granted to each user type.

  • If you'd like more control over the type of permissions the user is receiving, select the Custom user type and proceed to select the permissions you wish to grant the user.

4. Next you need to add a first name and last name for the staff member, as required fields.

5. You'll also need to provide either a mobile number or email address for your staff member - this will be their Yoco login username in future.

💡 You don’t have to add both an email address and mobile number, but we suggest you do. This will allow your staff member to better manage their own login password in future, and reset it when they need to (especially if they forgot it) - with 2 Factor Authentication for enhanced profile security.

6. Here you can also set up a PIN for secure staff switching purposes - this allows different staff members who are using your Yoco POS to perform a secure handover.

7. Your staff member will then receive an invite, either via email or SMS, which will include their new login details for your Yoco profile card machines and the Yoco POS App.

Countertop POS Setup

Now it's time to unbox your new countertop setup, in parts. Start by installing your iPad in its stand, and getting it connected to WiFi in order to download the Yoco POS App. Then, log in to the Yoco POS App and link it to your Neo Touch card machine. We recommend you follow this up with a test transaction, to make sure everything's running smoothly and you're happy with all your POS settings and configurations.

Step 1: Start up your tablet and connect to WiFi

  1. Insert your tablet into its stand and switch it on.

  2. Connect to a stable WiFi network, by going to your tablet's connection settings.

Step 2: Download the Yoco POS App on your tablet

  1. Go here or, simply go into the App Store on your tablet, and search for 'Yoco POS'.

  2. Select the download button and allow the app permission to access your tablet.

Struggling to download? Make sure your tablet is connected to WiFi or a stable internet source (above).


Step 3: Log in to the Yoco POS App

Log in to the Yoco POS App on your tablet, by entering the username (email or mobile number) and password for the Yoco profile you created during signup.

Step 4: Switch on your Neo Touch and log in

It's time to power up and log in to your Neo Touch to get started!

Enter your email or phone number, and the password you created during signup, and tap "Log in".

Struggling? Tap "Forgot your password?" to reset your password, with a link sent to your phone or email. You'll need to make sure you use the same details you used to sign up. Or, chat to us about it here.


Step 5: Connect your Neo Touch to WiFi

  1. Go to the Neo Touch home screen.

  2. Tap on the cog settings icon in the top left of the screen.

  3. Connect your Neo Touch to the same WiFi network as your tablet.


Step 6: Pair your Neo Touch with your Yoco POS

  1. Select the More tab, at the bottom of the POS App screen.

  2. Select Card Machines.

  3. You’ll see a carousel, tap on This is my card machine when your Neo Touch is shown.

  4. Select the Neo Touch with your serial number and hit Connect.


  5. Your tablet with the Yoco POS App is now connected with your Yoco Neo Touch.

Pair with a dummy transaction

  1. In the Sell tab, and enter an amount over R2.

  2. Click on the blue Charge button.

  3. Select the Card payment method.

  4. You’ll see a carousel, tap on "This is my card machine" when your Neo Touch is shown.

  5. Select the Neo Touch with your serial number and hit “Connect”.

  6. Your tablet with the Yoco POS App is now connected with your Yoco Neo Touch.

  7. You may now go ahead and cancel the dummy sale you created, or use this as an opportunity to complete your first test transaction (see next steps below).


Step 7: Do a test transaction

1. Create a new sale on your Yoco POS App by either adding products to the bill or entering an amount over R2.

To add products to your sale, select the ones you'd like to add to the bill.

2. Click on the "Charge" button to finalise the sale.

3. The total amount due will be displayed. Next, select the Card tile as your payment type.

4. You'll now be prompted to take payment on your Neo Touch card machine. If you've enabled Tip payments, you'll have the option to add a % of the bill or custom amount, and tap "Pay".

6. Take a card payment on Neo Touch, by tapping or inserting your own card to make payment.

7. Send a receipt from your Neo Touch via SMS or email, or press "Done".
