Managing Cash Payments

Find out how to enable and track cash transactions with Yoco, stay on top of your records, and keep your cash handling simple, accurate, and secure.

Cash is still a big part of how many businesses get paid. With Yoco, you can record and manage your cash sales alongside your card and online payments, all in one place.

All Yoco devices and the Yoco POS App can record cash payments.


Enabling cash payments


The cash toggle in the Yoco App (mobile or web) lets you turn cash payments on or off for your whole business. And whatever you choose applies across all your devices.

The cash toggle in the Yoco App (mobile or web) lets you turn cash payments on or off for your whole business – and whatever you choose applies across all your devices.

→ When cash is toggled ON in the Yoco App

  • Cash appears as a payment method at checkout on your point of sale (Counter or a tablet running the Yoco POS App) and card machines (Khumo, Khumo 2, Khumo Print, Khumo Print 2, Neo Touch).

  • You can turn cash off and on as a payment method on any of your card machines.

→ When cash is toggled OFF in the Yoco App

  • Cash won’t show as a payment method at checkout on your POS (Counter or a tablet running the Yoco POS App) or card machines (Khumo, Khumo 2, Khumo Print, Khumo Print 2, Neo Touch).

  • You can’t override this setting on your card machines.

    Please note:

    • Cash can only be enabled as a payment method by staff members with the 'Manage business settings' permission selected in their profile. Click here to find out about managing staff profiles and permissions.

    • Cash payments are, by default, toggled 'on' in the Yoco App (mobile or web) and toggled 'off' on card machines.

  1. Log in to the Yoco App (mobile or web).

  2. Go to the Settings tab – you'll find it at the bottom of the menu on the Yoco Web App, or in the top right corner of the Yoco Mobile App.

  3. Select the Payment methods tile/widget.

  4. Select the Edit button.

  5. Toggle cash to the ‘on’ position.

  6. Cash is now enabled as a payment method and will be visible at checkout on all your devices.


Guidelines for handling cash


  1. Keep your cash secure.
    Store it in a locked drawer or safe to reduce the risk of theft.

  2. Don’t let cash pile up.
    Deposit it regularly so you’re not keeping large amounts on-site.

  3. Control who handles cash.
    Limit access to trusted staff and put simple checks in place for cash-ups.

  4. Stay on top of your records.
    Track all cash payments and use the Yoco App (mobile or web) to regularly reconcile what you’ve received with your sales.

  5. Set your team up for success.
    Train staff on how to handle cash accurately and safely.

  6. Add extra security where you can.
    Cameras, alarms, and good lighting can go a long way in preventing theft.

  7. Double-check the basics.
    Counting change carefully helps avoid mistakes, and your Yoco card machine can help by showing the correct change to give.


Viewing cash sales


Cash transactions are recorded in your Sales history and can be viewed as follows.

  1. Log in to the Yoco App (mobile or web).

  2. Select the Sales tab, then select the Sales history tile/widget.

  3. To locate a specific sale, select the Method tab near the top of the screen.

  4. When the pop-up appears, select Cash to see all your cash sales, and/or Other to see all your other non-card sales.

Refunding cash payments

Please note: Yoco does not supply the money for cash refunds – the refund is simply recorded in your Sales history for your convenience.


Completing a cash sales recon


Need to reconcile your cash sales for a specific day or date range? You can do this easily in the Yoco App (mobile or web).

  1. Log in to the Yoco App (mobile or web).

  2. Select the Sales tab.

  3. Select the Sales history tile/widget.

  4. Select the Date filter near the top of the screen and enter the specific day or date range you want to reconcile.

  5. Select the Method filter and choose Cash to view only cash transactions.

  6. Select the Staff filter and select a specific team member to view only the cash they’ve received.

  7. In the Amount column, you’ll see the total cash sales for your selected filters as well as a breakdown of individual cash sales for each day.
