Managing Cash Payments: User Guide

We're not crazy about cash at Yoco – it’s expensive and risky to handle, and don’t forget dirty! But because accepting it is still a business reality in South Africa, we're here to help.


Recording a cash payment with Yoco

All Yoco sales (no matter which card machine or App you're using) can record a cash payment. And you don't need to activate this feature – it's always available.

  1. After you've charged the bill total on the Yoco Mobile App or your card machine, you'll be asked to choose a payment method.

  2. Choose ‘Cash’ and enter the amount you received. Yoco will then confirm how much change to give back (or keep as a tip).

  3. You have the option of sending your customer a receipt via SMS or email or printing one, if your Yoco card machine has a printer.

Viewing cash sales in your records

Cash payments are recorded in your Sales History, along with all your other Yoco transactions. Here, you can see that it was paid by cash, not card, and if you’re using the Yoco App, you can filter your Sales History by payment method.

From the Yoco Mobile/Web App here, go to the Sales tab and select the Sales History tile.

If you don’t spot the cash sale you’re looking for immediately, you can filter by Method and select Cash. This will show you a list of only your cash sales.

Processing cash refunds

Cash refunds are recorded in your Sales History, along with card refunds.

Note: Yoco does not supply the cash for the refund – it is recorded for your convenience only.

How to process a cash refund

  1. Find the cash sale you want to refund in your Sales History (either on the Yoco Web/Mobile App, in the Yoco POS App, or on your card machine).

  2. Select ‘Refund’, and choose a reason for the refund – this is purely for your records.

  3. Enter the refund PIN that will have been sent to your phone, if you’re processing your first refund. You can request a new PIN at any time.

  4. Hand the cash amount back to your customer.

Note: The refund PIN will be sent to the mobile number linked to the Yoco profile.


Guidelines for handling cash

  1. Store cash somewhere safe (a locked safe, cash drawer, etc.) to minimise the risk of theft.

  2. Deposit cash regularly to avoid having large sums on-site and to reduce the risk of a big amount being stolen.

  3. Limit access to cash to your most trusted employees and put checks and balances in place to ensure accountability during cash-ups.

  4. Maintain accurate, up-to-date records of all cash transactions. Use the Yoco Mobile/Web App to reconcile cash receipts with sales records regularly.

  5. Train your staff on proper cash handling procedures, emphasising the importance of accuracy and security.

  6. Install security measures like surveillance cameras, alarm systems, and adequate lighting to help prevent theft.

  7. Teach staff to count change carefully – this helps to prevent errors. Your Yoco card machine will also confirm how much change should be given.


Performing a cash sales recon with Yoco

If you need to do a cash sales recon for a specific day or date range, go to your Sales History in the Yoco Mobile/Web App here.

Here, you can filter by both (or either) staff member (if you have staff members also receiving cash on behalf of the business).

And filter by payment Method for Cash sales only.

In the Amount column, you'll see the total cash sales recorded (for the filtered group, if applicable) as well as a breakdown of each sale amount for each day included.
